This Privacy Policy explains what personal information MarinePulse collects, why we collect it, how we use it, and the choices you have. MarinePulse is a vessel maintenance and fleet management platform used by marine engineers, captains, and fleet managers. We are committed to being transparent about our data practices and to handling your information responsibly.

This policy is written to comply with the New Zealand Privacy Act 2020 and, where relevant to our international users, the EU GDPR, the UK GDPR, and the UK Data Protection Act 2018. If you have any questions, contact us at hellomarinepulse@gmail.com.

1. International Users

MarinePulse is based in New Zealand. New Zealand's privacy laws are recognised by the European Commission and the United Kingdom as providing an adequate level of protection, which means EU and UK personal data can lawfully be transferred here. Where we use cloud infrastructure located outside New Zealand, we make sure those transfers comply with applicable data protection requirements.

2. What We Collect

We only collect information that's needed to run the platform for you. Most of it comes directly from you or your team when you use MarinePulse.

Your account

  • Name, email address, and password (used to sign you in).
  • Company name, region, and industry, if you provide them.
  • Correspondence you have with us, including support requests.

Billing

  • Subscription and invoicing details.
  • Card details are handled by Stripe, our payment provider. MarinePulse never sees or stores your full card number, CVC, or full bank details.

Vessels, systems, and maintenance

  • Anything you or your team add to the app — vessel names and specs, registration details, systems, parts, documents, photos, maintenance tasks, log entries, rosters, and check sheets.

Crew records

You can store crew details inside MarinePulse to help with scheduling and safety. Depending on what you enter, this may include names, positions, contact numbers, email addresses, date of birth, next of kin, medical notes, certifications, training history, and induction files.

Technical and usage data

  • IP address, device type, browser, and rough location (derived from IP).
  • How you use the app — timestamps, features accessed, and performance information.
  • Information from support interactions to help us diagnose issues.

3. Why We Use It

We use your information to:

  • Run the platform and deliver the features you've set up, including reminders, notifications, and reports.
  • Process payments and manage your subscription.
  • Keep the platform secure and troubleshoot issues.
  • Respond to your questions and support requests.
  • Improve how MarinePulse works and understand usage trends.
  • Meet our legal and regulatory obligations.

We rely on a few different legal grounds depending on the situation: our legitimate business interests (such as security and product improvement), the contract we have with you, and, for optional things like marketing emails, your consent. Where we rely on legitimate interests, we've considered whether those are balanced against your rights.

We never sell or rent your personal information.

4. Who Can See It

Most of the data you add to MarinePulse is shared within your own account — other members of your team can see vessels, crew, maintenance tasks, and logs according to the roles you've assigned them.

We also use trusted third parties to help deliver the service:

  • Cloud hosting providers to store and process your data.
  • Stripe to handle payments.
  • Email delivery services to send reminders and notifications you've configured.

These providers only handle your data on our behalf and are bound by contractual obligations to protect it. We may also disclose information to law enforcement, regulators, or courts where we're legally required to, or to professional advisors like auditors or lawyers. If MarinePulse were ever sold or merged, information could transfer to the acquiring business as part of that transaction.

5. Keeping It Safe

We use industry-standard technical and organisational measures to protect your data — encrypted connections, access controls, and regular security reviews. No system is perfectly secure, so we can't guarantee absolute protection, but we work hard to safeguard your information and respond promptly to any security concerns.

6. Administrative Access

Authorised MarinePulse administrators may access customer accounts and data where reasonably necessary to:

  • provide customer support;
  • troubleshoot technical issues;
  • maintain and improve the Service;
  • investigate suspected misuse or security incidents; or
  • comply with legal obligations.

Such access is limited to authorised personnel and is only used where necessary to perform these functions.

7. Cookies

MarinePulse uses cookies and session tokens to keep you signed in and remember your preferences. We may use analytics tools to understand how the platform is used, but we don't use cookies to serve you third-party advertising.

8. How Long We Keep It

We keep your data for as long as your account is active. If you cancel your account, we'll delete your personal data within 30 days. Some records may be kept longer where we're legally required to, or where we need them to resolve a dispute or meet audit obligations.

9. Your Choices

You're in control of your personal information. You can:

  • See what we hold about you and ask for a copy.
  • Fix anything that's wrong or out of date.
  • Ask us to delete your account and its data.
  • Get a portable copy of your data to take elsewhere.
  • Object to certain types of processing.
  • Opt out of marketing emails at any time — either through the unsubscribe link or by contacting us.

To make any of these requests, email hellomarinepulse@gmail.com. We'll get back to you within a reasonable time and won't charge you for it unless a request is clearly unreasonable or excessive.

10. Children

MarinePulse is a professional tool and isn't meant for anyone under 16. We don't knowingly collect information from children. If you think we've done so by accident, let us know and we'll remove it.

11. Updates

We'll review this policy from time to time and may update it as MarinePulse evolves. If we make significant changes, we'll let you know. The date at the top of this page shows when it was last reviewed, and continuing to use MarinePulse after a change means you accept the updated policy.
